One of the most famous names in the medical profession has gained from the latest storage innovation available from Link 51. Barts and the London NHS Trust is now benefiting from the new Link 51 In2Filing service at its Centre of Reproductive Medicine - a move which has seen significant space savings as well as enhanced file management efficiency.

The IVF unit holds a combination of some 5,000 current file sets with a further 5,000 documents held in archive. To date, the current filing has been housed in approximately 25 four-drawer filing cabinets which had provided a potential additional capacity of barely 1,000. With the In2Filing work now complete, however, the capacity has increased to 8,000 - yet all in a considerably smaller floor area - and is now housed in a single block in brand new purpose-built premises.

"Apart form the floor area savings, Link 51's involvement has included a colour-coded filing system which offers significant advantages in terms of document location and tracking," comments Liz Latarche, Senior Nurse Manager. "Additionally, we bar-code each file - a capability also provided by Link 51 - allowing us to scan documents in and out as they are removed or returned to the storage area. This means," she continues, "that at any given time we know exactly where each file is which, as they can often be away from the filing system for some time, is clearly an important aid to efficiency."

Link 51's In2Filing service was involved in the project in two distinct areas. Initially, the organisation completed the installation of a mobile shelving facility in the new building which, because it requires only one access aisle to be open at a time, allows the majority of the installation to be kept in a 'closed' position minimising the amount of floor area required. With this stage complete, document transfers from the old filing cabinets to the new facility was also handled by Link 51 - "The entire process was achieved in just three days" adds Liz Latarche, "which, importantly, meant the day-to-day operations of the unit were not interrupted."

"By bringing our experience of shelving system installation and document organisation to bear in a single project, we are finding our customers gain from being able to turn to one company to achieve their full filing needs. Given the important work that organisations such as this carry out, we are delighted to contribute to its overall efficiency."
